Policies, Terms & Conditions

Rental Terms
Most prices are a “per-event” charge.  Rental charges are for time out whether or not the items are used.  Some items require a refundable cleaning or damage deposit.  Be sure to inquire about specific items if you are unsure of proper cleaning and care.  All prices are subject to change without notice.

Reservations and Orders
We are more than happy to take reservations for any size order.  A 25% deposit (minimum $50.00) is required on all tent orders and also on many non-tent orders.  Deposits on all tent orders are non-refundable if the order is cancelled at any time.  Non-tent orders may be refunded if the order is cancelled no less than 10 days prior to the event.  Any order cancelled less than 10 days prior to the event is still subject to full rental charges for the entire order, not just the deposit.  Changes to orders may be made up to 10 days prior to the event and are subject to availability. 

Payment
Final payment for party orders is due prior to delivery.  We accept all major credit cards as well as cash and checks.  Some orders may require a credit card on file.  Refund of deposits will be made within 10-15 days after the event less any charges for damages, missing, or dirty items. 

Set-up
Prices include installation for tents, dance floors, staging, and sidewalls.  Tables and chairs are subject to a set-up fee of 50% of the total table and chair rental and must be arranged in advance. 

Delivery and Pick-up
Deliveries are made in advance of the event at a pre-scheduled time and place.  We will normally contact you the week before the event to finalize orders and schedule for delivery.  Delivery fees are included for most tent orders.  Non-tent orders are subject to delivery fees based on location and logistics.  All deliveries are to ground floor or areas within a reasonable distance from loading area and must be accessible by our delivery trucks unless previous arrangements have been made.  Deliveries not meeting these conditions are subject to additional charges.  All items are delivered in neat stacks in a mutually convenient location.  All items must be neatly re-stacked in the same location to avoid additional charges.

Site Preparation and Equipment Care
Sites for tents must be installation ready in advance.  Grass should be mowed at least one full day in advance of set-up, multiple days if needed to allow grass to dry.  It is strongly suggested that grass clippings be removed from the area.  All vehicles inhibiting delivery should be out of the way when crews arrive.  Any other debris, including animal waste, should be removed from the area prior to delivery. 

Tents
In general, tent sites should be flat, level, dry, clear of overhead obstructions, and mostly ledge free.  There must be proper clearance both for staking and height for tents.  Pole tents need an additional 10 to 12 feet beyond the dimensions of the tent itself for staking.  Frame tents can in most cases fit almost within the dimensions of the tent itself.  We strongly recommend having a complimentary site-survey done by one of our party professionals prior to your event.  Tents can generally withstand some inclement weather conditions; however tents are temporary structures and are not designed to withstand high winds.  Taylor Rental reserves the right to cancel the installation of or remove a tent in the event of severe weather. 

Staking
All of our tents require staking to anchor them to the ground.  Pole tents require extensive staking.  Frame tents may only require minimal staking and in some instance may be anchored with weights only if prior arrangements have been made.  Staking is possible in asphalt.  Taylor Rental must be informed of this prior to delivery.  Additional charges may apply for asphalt staking.  It is the responsibility of the customer to inform Taylor Rental of any underground utilities such as septic, gas, electrical, water, etc.  This may require the customer to contact Dig Safe (1-888-344-7233) which is a free service that requires 72 business hours notice.  Taylor Rental is not responsible for damage to underground utilities. 

Sidewalls
Installation is included in the price of sidewalls.  If sidewalls are not used on the tent or are removed by the customer during or after the event, they must be neatly folded and kept under cover. 

Dance Floors
Our dance floors are made of wood and must be installed and kept under cover at all times.  Dance floors must be installed on flat, level ground.  Floors can be shimmed to a small degree to avoid “bouncing” of the floor.  Taylor Rental reserves the right to refuse installation of a dance floor in an area that is unsafe. 

Tables and Chairs
Tables and chairs are delivered folded and in stacks in a mutually convenient location.  They must be neatly re-stacked in the same location for pick-up.  Tables and chairs must be kept dry at all times.

Linens
Linen orders must be placed no less than 10 days prior to the event.  Linen orders cannot be changed or cancelled within 10 days prior to the event.  Linens are delivered table ready.  Linens must be returned free of any burns, tears, abrasions, stains or food waste.  The customer is responsible for replacement costs of any linen that are not re-rentable. 

Dishes
Dishes and flatware are delivered in racks wrapped in plastic and are table ready.  All dish orders require a 50% deposit.  Dishes must be returned clean and in the racks they were delivered in to avoid losing part or all of the deposit.
